Terms and Conditions

Effective Date: 10.26.2025

Acceptance of Terms

By booking catering services, placing an order, or using our website, you (“Client,” “Customer,” or “You”) agree to these Terms and Conditions. Please read them carefully before confirming your order. These terms form a legally binding agreement between you and Vegan Soul Brother LLC (“Company,” “We,” “Us,” or “Our”).

Services

We provide plant-based catering services specializing in vegan soul food for private events, corporate functions, and special occasions.
All menu items are 100% vegan. However, we cannot guarantee the absence of trace allergens due to shared kitchen environments.

Booking Requirements

To secure services, the following are required:

  • A signed catering contract, and
     
  • A 50% non-refundable deposit.
     

No event date is confirmed until both the signed contract and deposit are received and acknowledged in writing by Vegan Soul Brother Catering.

Quotes or verbal agreements do not reserve a date. Dates are booked on a first-come, first-served basis.

 

Payments

  • Deposit: 50% of the total invoice is due upon signing the contract.
     
  • Final Balance: The remaining 50% is due no later than 14 days before the event date.
     
  • Late Payments: Late payments may result in cancellation of services or additional 5% late fee per day past due.
     
  • Accepted Payments: Cash, Cashapp, Debit/Credit, ACH or Invoice.

No Refund Policy

All payments made to Vegan Soul Brother Catering are non-refundable and non-transferable, without exception.
This includes deposits, final payments, and any other fees.

Once payment is made, we immediately begin sourcing ingredients, scheduling staff, and reserving your event date — costs that cannot be recovered if plans change.

If you need to cancel or postpone, we may offer a one-time courtesy credit toward a future event at our discretion, but we are not obligated to do so.

Menu & Substitutions

All menu selections must be finalized at least 21 days prior to the event.
We reserve the right to make ingredient substitutions of equal or greater value if an item becomes unavailable, while maintaining the quality and integrity of the dish.

Allergies & Dietary Restrictions

Although all dishes are plant-based, please inform us in advance of any allergies.
We take precautions but cannot guarantee an allergen-free environment (e.g., soy, nuts, gluten).
The Company shall not be liable for adverse reactions resulting from undisclosed allergies.

Event Logistics

  • Setup & Breakdown: Setup time and service duration will be confirmed during booking. Any additional time requested onsite may incur extra fees.
     
  • Venue Requirements: The Client is responsible for ensuring that the venue provides adequate access, parking, and facilities for catering staff.
     
  • Equipment Rental: If additional equipment (tables, chafing dishes, etc.) is required, costs will be outlined in your invoice.

Delivery & Pickup

Delivery fees are based on location and order size.
If the client fails to be present at the agreed delivery time or location, additional delivery fees may apply.
For pickup orders, food must be collected at the agreed time to ensure freshness and quality.

Liability & Food Safety

We follow all local and state food safety regulations.
However, once food has been delivered, served, or handed over to the Client, we are not responsible for:

  • Temperature changes or spoilage due to delayed serving,
     
  • Consumption beyond recommended time frames, or
     
  • Any illness, damages, or losses resulting from improper storage or handling.

Intellectual Property & Menu Ownership

All menus, recipes, names, dish concepts, designs, and written materials created or provided by Vegan Soul Brother Catering are the sole and exclusive property of Vegan Soul Brother Catering.

Clients may not copy, reproduce, share, or recreate our menu items, food concepts, or recipes for personal or commercial use without our express written permission.

Any unauthorized use of our proprietary menus, brand names, or materials will be considered a violation of intellectual property rights and may result in legal action.

Media & Promotion

By attending events catered by us or tagging us on social media, you grant permission for Vegan Soul Brother to use photos or videos of our food displays for marketing and promotional purposes, unless you request otherwise in writing before your event.

Force Majeure

We are not liable for delays or cancellations caused by events beyond our control, including natural disasters, strikes, pandemics, accidents, or government restrictions.

Governing Law

These Terms & Conditions are governed by the laws of the State of Washington, without regard to conflict-of-law principles. Any disputes shall be resolved in the courts of Clark County, Washington.

Agreement

By placing an order, signing an event contract, or paying a deposit, the Client acknowledges that they have read, understood, and agreed to these Terms and Conditions.
